Information we collect

  • When you ask for a quote or contact us: your name, email address, phone number, business name, the services you’re interested in and anything you tell us about your business.
  • When you become a client: the information we need to provide our services, such as contact details, dates of birth, National Insurance and tax references, financial records, bank details, payroll information about your employees, and company details.
  • To meet anti-money laundering rules: proof of identity and address for clients, directors and beneficial owners.
  • When you visit our website: basic technical information such as your device, browser and pages viewed, collected by our website host and the services described under “Cookies” below.

How we use your information

We only use your personal information where the law allows us to:

  • To reply to your enquiry and prepare a quote, because you have asked us to (steps before entering into a contract).
  • To provide our services under our engagement letter with you (performance of a contract).
  • To meet our legal and regulatory obligations, including the Money Laundering Regulations, tax law and the requirements of our professional body (legal obligation).
  • To run and improve our business, keep our records, and tell existing clients about changes that affect them, such as new tax rules (legitimate interests).

We will never sell your personal information. We will only send you marketing if you have agreed to it, and you can opt out at any time.

Who we share it with

We only share your information where it is needed to provide our services or required by law, for example with:

  • HMRC, Companies House and other government bodies, when we act on your behalf
  • Pension providers, when we run payroll and auto-enrolment for you
  • Trusted software providers that help us deliver our services, such as our accounting, practice management, client onboarding and website platforms
  • Identity verification providers, to meet anti-money laundering rules
  • JotForm, which runs our client forms for anti-money laundering documents, payroll starters and subcontractors
  • Our professional body, insurers and professional advisers, where required
  • Law enforcement or regulators, if the law requires us to

Some of our software providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, as required by UK data protection law.

How long we keep it

  • Enquiries that don’t lead to us working together: up to 12 months.
  • Client records: for as long as we act for you, and then usually for 6 years so that we can deal with any tax or legal queries.
  • Anti-money laundering records: at least 5 years after our business relationship ends, as the law requires.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information, where we no longer need to keep it
  • object to, or ask us to restrict, how we use your information
  • ask us to transfer your information to another organisation
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, contact us using the details above. We will respond within one month.

Cookies

Our website host, Wix, uses a small number of essential cookies to keep the site secure and working properly. These don’t need your consent.

We use Google Maps to show where our offices are. Google sets its own cookies when a map is shown, so the maps only load if you choose “Accept” on our cookie banner or press “Show map”. If you reject, the maps stay switched off and you can still open our locations in Google Maps separately. We remember your choice in your browser so we don’t ask again on every page. You can change your mind at any time using the “Cookie settings” link at the bottom of every page.

If you choose “Accept”, we also use Google Analytics to understand how visitors use the site, such as which pages are read and whether the quote form is used. Google Analytics sets its own cookies and we have IP anonymisation switched on. It doesn’t run if you reject.

We also use Google Fonts to display text. You can block or delete cookies in your browser settings.

Complaints

If you have a concern about how we use your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
